What we collect and why

WhenWhat we collectWhy, and our lawful basis
Home heating self-assessment Your answers (gas use or bill, property type, rooms, when you’re home), name, email, postcode and, if you give it, phone number. To send your summary and contact you about a home survey. Basis: steps you have asked us to take before a possible contract.
Gas statements you upload Your statements, which include your name, address, supplier account details, meter readings, gas use and charges. Only to prepare your gas analysis report. Basis: your consent, which you give by ticking the box when you upload. You can withdraw it at any time and we will delete the statements.
Gas figures read on your device (self-assessment) If you choose your Octopus gas statements on the self-assessment form, your browser reads them on your own device and adds only the gas figures to your request: statement dates, kWh used, unit rates, standing charge, totals and whether readings were estimated. No name, address, account number, meter number or file name is included, and the PDFs are not uploaded. To prepare your summary and survey. Basis: your consent, which you give by ticking the box before you send your request. You can withdraw it at any time and we will delete the figures.
Contact form or email Name, email, postcode, phone (optional) and your message. To reply to you. Basis: steps you have asked us to take before a possible contract, or our legitimate interest in answering enquiries.
Market research survey Your anonymous answers about your home and heating. Your name and email only if you choose to register interest. To understand what local homeowners need, and to contact you if you asked us to. Basis: our legitimate interest in research; your consent for contact.
Home survey visit and quote Contact details and address, details of your boiler, heating controls and radiators, room-by-room notes and photos of heating equipment, and your household’s usual heating pattern. To design your system and give you a quote. Basis: steps you have asked us to take before a contract.
Quote and online acceptance Your name, email, phone and address, the quote we prepared for you, and, if you accept it online, the name you typed, the date and time, the version of our terms you accepted, whether you asked for work to start inside the cancellation period, and a saved copy of the quote as accepted. We email you a confirmation copy. To give you a quote, record your acceptance and carry out the contract. Basis: steps you have asked us to take before a contract, and our contract with you.
Our records of enquiries and customers Notes of our calls, emails and visits with you, and reminders to follow up. To deal with your enquiry or installation properly and keep an accurate history. Basis: our legitimate interest in running the business well, and our contract with you.
If you become a customer The above, plus installation records, invoices and payments, and any follow-up gas statements you share so we can measure your results. To install and support your system and keep business records. Basis: our contract with you, and our legal obligations (tax and accounting records).

Your gas statements

Because statements contain detailed household information, we handle them with extra care:

Who we share it with

We never sell your information. We share it only with the service providers that run our systems for us, under contracts that require them to keep it secure and use it only on our instructions:

We may also share information if the law requires it, or with professional advisers (such as our accountant) where needed.

Some of these providers are based outside the UK, or use servers outside the UK. Where that happens, we rely on the UK’s adequacy regulations or on contract terms approved for international transfers, so your information keeps the same level of protection.

How long we keep it
